(RCAS) is a volunteer-run, not-for-profit incorporated community arts organisation dedicated to inspiring creativity, encouraging lifelong learning, and fostering connections through the visual arts.

RCAS Membership Terms and Conditions

1. Association commitments

1.1 Public Liability Insurance - Required Public Statement
The Redland Coast Art Society Inc. (‘Society’ or ‘RCAS’) maintains current Public Liability Insurance to the value of $20,000,000, subject to the terms, conditions, exclusions and limits of the relevant insurance policy.

1.2 Privacy
The Society respects the privacy of its Members and will collect, use, hold and disclose personal information in accordance with its Privacy Policy and applicable privacy laws. The Society does not sell or rent Members’ personal information.

1.3 Security of personal information
The Society will take reasonable steps to securely store and protect Members’ personal information and documents against unauthorised access, use, modification or disclosure.

1.4 Confidentiality
The Society will take reasonable steps to ensure that employees, volunteers, staff, agents and contractors who are authorised to access a Member’s personal information for legitimate organisational, administrative, operational or safety-related purposes are subject to appropriate confidentiality obligations.

1.5 Privacy and disclosure
The Society will respect the confidentiality of Members’ personal information except where disclosure is authorised by the Member, required or permitted by law, or reasonably necessary to address a serious safety, medical, legal or professional obligation.

1.6 Members’ Register
The Society will maintain a Members’ Register as required by applicable legislation and its Constitution. Access to the Members’ Register by Members will be managed in accordance with applicable legislation, the Constitution and the Association’s policies. Where permitted by law, a Member may request in writing that their personal details, other than their name, not be disclosed when the Members’ Register is inspected by another Member.

1.7 Personal Property
To the extent permitted by law, the Society is not responsible for the loss of, theft of or damage to any artworks personal property brought onto Association premises or taken to an Society event, workshop or activity. Members are responsible for taking reasonable care of their personal belongings.

2. Membership Obligations

2.1 Compliance with Association rules
Membership is subject to the Member complying with the Association’s Constitution, by-laws, codes of conduct, policies, procedures and reasonable directions issued by the Association from time to time.

2.2 Health, safety and wellbeing
Members must take reasonable care for their own health and safety and that of other Members, volunteers, visitors and other persons who may be affected by their activities at the Association or at an Association event or activity.

Members must comply with applicable health and safety requirements, safety instructions and reasonable directions given by an authorised representative of the Association.

2.3 Personal Property and Artworks
To the extent permitted by law, the Society is not responsible for the loss of, theft of, or damage to any artworks, art materials, tools, equipment or other personal property brought onto Society premises or taken to, displayed at, stored at or otherwise associated with a Society class, workshop, exhibition, event or activity. Members and participants are responsible for taking reasonable care of their own artworks, materials, equipment and personal belongings and for ensuring that items brought onto Society premises or to Society activities are appropriately protected, labelled and secured.

Unless otherwise expressly agreed in writing by the Society, the Society does not accept responsibility for the custody, storage, security or condition of artworks or other personal property left on Society premises, including artworks submitted for classes, workshops, exhibitions, display, collection or other Society-related purposes. Members and participants should arrange their own insurance where appropriate, particularly for valuable artworks, equipment or other personal property. Nothing in these Terms and Conditions excludes, restricts or modifies any liability of the Society that cannot lawfully be excluded, restricted or modified.

2.4 Membership details
Members must ensure that their contact and other membership details held by the Society remain accurate and up to date and must notify the Society of any changes within a reasonable time.

2.5 Personal information
The Society may collect, hold, use and disclose a Member’s personal information for purposes reasonably necessary for the administration and operation of the Society, including membership administration, communication, activities, events, safety, insurance and legal or regulatory obligations, in accordance with the Society’s Privacy Policy and applicable law.

2.6 Communication
The Society may contact Members using the contact details and communication methods provided by the Member in their membership application or subsequently provided or updated by the Member.

2.7 Photography and images
The Society may take photographs or video recordings at Society classes, workshops, exhibitions, events and other Society-related activities for promotional, communication, educational and archival purposes. Members who do not wish to be photographed or recorded are responsible for notifying the Society or a Society representative at the time of the activity and, where practicable, positioning themselves so they are not included in photographs or recordings. The Society will take reasonable steps to respect a Member’s request not to be photographed or recorded, but cannot guarantee that a Member will not be inadvertently captured in photographs or recordings taken during Society activities.

2.8 Respectful and inclusive participation
Members must behave respectfully towards other Members, volunteers, visitors, tutors, contractors and Society representatives and must comply with the Society’s Code of Conduct and applicable policies. The Society is committed to providing a safe, respectful and inclusive environment and does not tolerate discrimination, harassment, bullying, threatening behaviour or other conduct that may adversely affect the safety or wellbeing of others.

2.9 Changes to these Terms and Conditions
The Society may amend these Terms and Conditions from time to time where reasonably necessary to reflect changes to legislation, the Society’s Constitution, policies, operations or safety requirements. Members will be notified of material changes in accordance with the Society’s usual communication procedures.

3. Health & Safety Mini Induction – Membership Application

3.1 Health & Safety
Members of the Redland Coast Art Society Inc. (‘Society’) have a duty of care to themselves, other Members, tutors, volunteers, visitors and other people involved in Society activities. Everyone has a responsibility to take reasonable care to avoid causing foreseeable harm to another person or damage to property.

3.2 Responsibility for Safety
Responsibility for safety is everyone’s business. Safe practices are essential to the Society’s classes, workshops, exhibitions, events and other activities. The Management Committee and its authorised persons are responsible for overseeing the Society’s operations and establishing appropriate health and safety requirements. Members, tutors, volunteers and visitors are expected to comply with those requirements and any reasonable safety directions given by the Society.

3.3 Member Safety Responsibilities
Members must take reasonable care when participating in Society activities and must not engage in conduct that creates an unnecessary or foreseeable risk to themselves or others. Members must follow safety instructions, use equipment and facilities appropriately, and promptly address or report any unsafe situation of which they become aware.

3.4 Incident and Near-Miss Reporting
All incidents, injuries, property damage and near misses must be taken seriously and reported as soon as practicable to a tutor, authorised Society representative or Management Committee member.

3.5 Incident Records
Where required, an incident must be recorded in the Society’s incident register or other designated reporting system. Details should include, where reasonably practicable, what occurred, the circumstances or apparent cause, any injury or damage and any action taken.

3.6 Corrective Action
The Society will consider appropriate corrective or preventative action following an incident or near miss where reasonably practicable, with the aim of reducing the likelihood of a similar incident occurring again.
